PRIDE PARADE POLICY

All participants in the Pride Parade must agree to the following terms and conditions. Your acceptance of these terms at the bottom of this page will allow you to continue with registration.

The Windsor-Essex Pride Fest retains the right to refuse any application without liability. The Windsor-Essex Pride Fest retains the right to cancel “Pride Fest” or “Pride Events” at any time, in part or in full, without liability. The act of receiving an application shall not be deemed to impart or imply any obligation for the Windsor-Essex Pride Fest to accept any bid or application. Upon approval of an application, the successful applicant will be notified via email of their acceptance into the Windsor-Essex Pride Fest Parade. Incomplete applications will not be accepted.

For the sake of this Application, we define “Participants” to mean all individuals, groups, organizations, businesses, labour unions, political parties, charities, foundations, government entities, or entities that receive all or the majority of their funding from government such as hospitals or school boards. In the case of a Participant that consists of more than one individual, the person named in this Application declares they are duly authorized to submit this Application and bind the Participant to all the terms outlined herein.

General Terms

  • The Participant must support the objectives of the Windsor-Essex Pride Fest.
  • The Participant must fully complete and sign the Windsor-Essex Pride Fest Application form, and said application must be received by Windsor-Essex Pride Fest no later than 72 hours prior to the scheduled commencement of the Parade. Applications received after this deadline are considered late and may not be accepted.
  • The Participant must submit payment online in accordance with the pricing chart below no later than 72 hours prior to the scheduled commencement of the Parade. Participants are encouraged to bring proof of payment with them on the date of the Parade Participants that fall under the “Individual” fee category are not required to submit any payment.
  • All Participants agree to abide by the Parade Entry Rules and Terms & Conditions, as well as follow any instruction or direction given by Windsor-Essex Pride Fest.
  • The Participant acknowledges that any  breach or failure to abide by the Parade Entry Rules and Terms & Conditions could result in exclusion and/or removal from the Windsor-Essex Pride Fest Parade or any other Pride Fest event and further unconditionally agrees to pay Windsor-Essex Pride Fest any cost recovery fee, surcharge or restitution for any damage to persons or property that may be caused by the Participant. The Participant also assumes liability for any legal costs Windsor-Essex Pride Fest may incur or suffer damages for any action or proceeding arising as a result of any act made by the Participant. The Participant acknowledges that any criminal act or wrongdoing on the part of the Participant will be referred to the appropriate authorities. The Participant further agrees to hold Windsor-Essex Pride Fest free from any harm or liability from any civil proceeding that may arise as a result of such referral.
  • Agree that if a complaint is made, the applicant will participate in the appropriate Windsor-Essex Pride Fest complaints process, and abide by the ruling of the Board of Directors.  In the event a Participant has a complaint, the Participant agrees to notify Windsor-Essex Pride Fest in writing within 30 days of the date on which the cause for complaint occurs and further agrees to any decision the Windsor-Essex Pride Fest Board of Directors may make in regard to said complaint. Regardless of any complaint or dispute that may arise, the Participant agrees to abide by all other Terms and Conditions.
  • The Applicant operates in a manner consistent with the celebration of Pride Fest and the positive value of diversity and identity in the Lesbian, Gay, Bisexual, Transsexual, Transgender and allied communities.
  • The Applicant hereby declares that policies upholding equal opportunity and non-discrimination on the grounds of Race, Creed, National Origin, Religious or Political affiliation, Sex, Age, Personal or Family Relationships, Disabilities, Income Restrictions, Union Affiliation, Sexual Orientation and Gender is prohibited by the organization/business or individual.

Parade Entry Rules and Terms & Conditions

The Applicant confirms that they have the authority to assume full responsibility for the behaviour of all persons participating in the contingent falling under this application. The Applicant further agrees to comply by and enforce all applicable laws and regulations in connection with the event.

  • The Applicant understands that alcoholic beverages and controlled substances are not permitted on-site or on the Parade route or staging area.
  • The Applicant specifically agrees that the Windsor-Essex Pride Fest assumes no responsibility for damages to persons or property however caused as a result of/or pertaining to the participation/activities of the organization/business or individual and further, agrees to waive any right or claim for damages for same.
  • The applicant agrees that in no way can the parade be stopped/paused or hindered. The Applicant agrees to abide by all instructions given by Windsor-Essex Pride Fest as they relate to placement and movement in the Parade.

Messaging in the Parade

  • The Applicant will not present any messages whether verbal, written, in imagery or otherwise that promotes or condones violence or incitement of hatred as defined in the Criminal Code of Canada.
  • The Applicant will respect the right of all members and supporters of the Lesbian, Gay, Bisexual, Transsexual, Transgender and allied communities to participate in the Windsor-Essex Pride Fest.
  • The Applicant agrees that all messages delivered during the participation in the Windsor-Essex Pride Parade remain non-violent and in accordance with the guidelines above and in accordance with the City of Windsor’s Anti-Discrimination Policy.
  • The Applicant agrees not to use any vulgar or offensive language, imagery or conduct, or display any nudity during their inclusion whether prior, during or after the parade.

Floats and Vehicles in the Parade

  • The Applicant agrees to build their float and/or vehicle to the specifications listed on the application.
  • The Applicant understands that the driver of any vehicle participating in the Windsor-Essex Pride Fest Parade must have a valid Ontario Driver’s license in the class appropriate to the vehicle, and valid insurance available for presentation.
  • Any drivers found to be intoxicated or with controlled substances or alcohol on their persons or in their vehicles will be removed from the Windsor-Essex Pride Fest Parade.
  • The Applicant agrees that all drivers of motorcycles, or any other vehicle that requires such protective gear, must wear the appropriate riding gear, including helmets, while riding their vehicles.
  • The Applicant will comply with the rules and regulations of the staging area and acknowledges that all floats are to arrive ready-made with only final touches being applied within the staging area.
  • The Applicant acknowledges and is responsible for ensuring that all floats have a dry chemical extinguisher and a basic first aid kit on board.

Parade Registration Fees

Due to increased costs related to producing the annual parade including security, police, barricades and many other fees, the Windsor-Essex Pride Fest has had to introduce a small fee for businesses and groups in order to recover these costs. If you require additional people in your organization, group or business beyond those listed below, please let us know and a representative will contact you to discuss. All applications are due by July 29, 2019.

Liability Release

In consideration of the acceptance of this application and permission to participate in the Windsor-Essex Pride Fest Parade, I, for myself, my heirs, executors, administrators, successors and assigns hereby release, waive and forever discharge the Windsor-Essex Pride Fest staff, board of directors, volunteers, and suppliers, City of Windsor and all other associations, sanctioning bodies and sponsoring companies, and all respective agents, officials, servants, contractors, representatives, volunteers, staff, elected and appointed officials, successors and assigns of and from all claims, demands, damages, costs, expenses, action and causes of action, whether in law or equity, in respect of death, injury, loss or damage to my person or property HOWEVER CAUSED, or arising or to arise by reason of my participation in the said event, whether as an exhibitor, spectator, participant, competitor or otherwise, whether prior to, during or subsequent to the event, AND NOTWITHSTANDING that the same may have been contributed to, or occasioned by the negligence of any of the aforesaid.

I FURTHER HEREBY UNDERTAKE to HOLD AND SAVE HARMLESS and AGREE TO INDEMNIFY all of the aforesaid from against any liability incurred by any or all of them as a result of, or in any way connected with my participation in the said event. BY SUBMITTING THIS ENTRY, I ACKNOWLEDGE HAVING READ, UNDERSTOOD AND AGREE TO THE ABOVE WAIVER, RELEASE AND INDEMNITY.
